Privacy Policy

Effective date: May 11, 2026
Last updated: August 30, 2026

1. Introduction

This Privacy Policy ("Privacy Policy") applies to Amane Bot ("Amane" or "the Bot"), which is operated by Anemone Bot (hereafter referred to as "we," "us," or "our"). This Privacy Policy explains how we handle your information.

2. Information We Collect

The Bot may access, process, and collect:

Some information is processed temporarily to provide a requested result, while information needed for forum exports, agreement functions, security, and operations may be stored as described below.

We do not intentionally collect geolocation, contacts, camera data, photo-gallery data, or payment information.

3. How We Use Information

We use collected information only as needed to analyze Discord channel and forum activity, generate requested reports and exports, operate agreement and access-control functions, provide requested responses, operate the Bot, prevent misuse, and comply with legal obligations. Where the GDPR applies, processing is based on providing the requested service, our legitimate interest in operating the Bot, or consent where required.

4. Storage and Tracking

The Bot may store information in its private application database and operational logs only where needed for its functions. Message text scanned during ordinary channel-link analysis is not retained by that workflow. Forum extraction reports and agreement records may be stored to provide their requested functions. We do not use newsletters, digital analytics, advertisements, retargeting, third-party analytics or social login, or cross-site tracking technologies.

5. Disclosure of Information

Information may be processed through Discord and service providers necessary to operate the Bot. Public media links may also be used to obtain metadata from the service hosting the linked content. We may disclose information when required by law or necessary to protect users, the Bot, or others. We do not sell personal information or share it for targeted or cross-context behavioral advertising. Where applicable, we take reasonable steps to ensure appropriate data protection.

6. Retention and Security

Personal information stored by the Bot is deleted within 30 days unless longer retention is reasonably necessary to provide an active agreement or access-control function, address security or misuse, resolve a support or privacy request, or comply with legal obligations. Active agreement records may be retained while the agreement remains in effect and are deleted when they are no longer needed. We then delete or anonymize information where reasonably possible. We use reasonable safeguards to protect information, but no electronic system is completely secure.

7. Your Privacy Rights

Depending on your location, you may request access, correction, deletion, restriction, portability, or objection to the processing of your personal information. You may also withdraw consent where processing relies on consent. California residents may additionally request information about our collection and disclosure practices and may exercise applicable rights without discrimination. Because we do not sell or share personal information for advertising, no sale or advertising-sharing opt-out is required. To submit a request, email privacy@your-domain.example or contact us through the support channel in the Discord server and request a private response. We may need to verify your identity.

8. Children

The Bot is not offered to children under 13, and we do not knowingly collect their personal information. If we learn that such information has been collected, we will take reasonable steps to delete it.

9. Changes

We may update this Privacy Policy from time to time. Material changes will be announced through the Discord support channel or where this policy is published.

10. Contact

For privacy questions, complaints, or requests, email privacy@your-domain.example or contact us through our Discord server.
